INFORMATION ON THE PROCESSING OF PERSONAL DATA

PROJECT – MICAD – Metropolitan Inclusivity in Climate and Digital Transition –
  1. As Data Controllers of the Horizon Europe project Metropolitan Inclusivity in Climate and Digital Transitions- MICAD, funded by the European Union under Grant Agreement No.101178684, we would like to inform you that for the management and organisation of the indicated project, your personal data (personal, tax, identification data, and images) will be processed in compliance with General Data Protection Regulation (GDPR – Regulation (EU) 2016/679) and applicable national legislation on personal data processing, as well as with the obligations of fairness, lawfulness, and confidentiality.
  2. The data will be processed for the following purposes:
    a) management of project activities, including the organisation of events or training courses – where applicable 
    b) fulfilment of tax, legal, and contractual obligations related to project activities and/or required by applicable law; 
    c) archiving for the purpose of keeping project documents and/or accounting documents and protecting the rights of the Data Controller; 
    d) sending newsletters and/or email marketing in relation to the activities of the Association.
    Within the scope of the purposes indicated in points a), b) and c), the processing is (i) necessary for the management of the project, (ii) based on a legal obligation or (iii) based on the legitimate interest of the Data Controllers. Participation in the project will be impossible for anyone who refuses to provide data.
    Processing may include photos and/or video recordings taken during the event by the Data Controllers or by third parties appointed by the Controllers, and used by the Controllers for advertising and promotional purposes (e.g., publication on the organisation’s website, social media channels, magazines) in contexts that do not harm and/or prejudice personal dignity and decorum. The use of images is free of charge and based on consent. If you do not wish for your image to be captured or used, please inform a Data Controller or, in case of an event, a member of the event staff. We will instruct our photographers to make every reasonable effort to avoid capturing you in a prominent or identifiable manner. Furthermore, you have the right to withdraw your consent at any time. The withdrawal of consent will not affect the lawfulness of processing based on consent before its withdrawal.
    Sending newsletters and/or marketing emails requires your consent. Failure to provide consent will prevent such communications from being sent, but will not affect participation in the project.
  3. The processing of personal data will be carried out using paper documents and archives as well as electronic and/or telematic tools, in compliance with legal provisions to ensure their confidentiality and security, as well as the accuracy, updating, and relevance of the data with respect to the purposes described above, and to prevent access and consequent processing by persons not previously authorised. Personal data will be stored in order to fulfil legal obligations, and retained for a maximum of 5 years after the end of the project for audit and reporting purposes. The subscription to the newsletter will end when consent is withdrawn or, if earlier, when the service is discontinued. In line with Article 89 GDPR, a selection of images/videos documenting key project activities may be retained for a longer period as part of the project’s historical archive, due to the public interest in preserving records of publicly funded research.
  4. Personal data may be transferred to a non-EU country in accordance with the provisions of articles 44-49 of Regulation (EU) 679/2016. Without prejudice to communications made in compliance with legal, regulatory, or EU obligations, personal data will be processed by employees and collaborators of the Data Controllers in relation to their specific job duties, and may be disclosed to professionals and companies providing services and consultancy (e.g., in accounting, tax, legal matters, etc.), as well as to entities that need to access the data for the management and organization of the project, and in particular, within this scope, to bodies, companies, and associations connected to and/or controlled by each Joint Controller. In all cases, only the personal data necessary to achieve the purposes for which they are collected will be transferred, in full compliance with the required data security and confidentiality.
  5. In relation to such data, the interested party may, by written request addressed to the Controllers (including through a delegate): 
    (i) obtain access to personal data, including knowledge of the origin of the data, the purpose of processing, the logic applied to processing using electronic means, the categories of data, the recipients (or categories of recipients) to whom the data will be communicated, the retention period and the communication of the data in an intelligible form; 
    (ii) request the rectification, integration or deletion of data, or the restriction of processing; 
    (iii) object to the processing of personal data; 
    (iv) request data portability where relevant; 
    (v) revoke consent at any time; 
    (vi) make a complaint to a supervisory authority.
    The purposes and means of processing personal data have been defined in a separate agreement between the joint controllers listed below, the essential content of which is made available to data subjects.
